Site Support Administrator

Oracle | NetSuite's Kitchener-Waterloo site is seeking a Site Support Administrator to help make our software development site more effective. Reporting to the Site Director, this role will provide administrative support to the Site Director and handle the execution of a wide variety of site-wide initiatives and projects related to employee engagement, hiring, coordination of multiple Oracle departments, and more. The office is a hard-working, but fun-loving place where we build and support software that fuels small and medium businesses' growth. There are a lot of moving parts, and this role will be responsible for making sure those parts have the site-wide resources they need.

The ideal candidate: You are someone with some Administrative Assistance, Office Management, Event Planning or other support experience who enjoys working on many different things throughout their day. Being organized is your strong suit, but you're able to wing it and think on your feet when the situation requires. You enjoy working with and talking to a variety of people throughout the day, and your collaborative nature lets your organized nature bleed over to them without inhibiting them.

Administrative Support

  • Supporting International travel arrangements
  • Maintaining Outlook calendar(s) in current and accurate status
  • Filing and tracking expense reports for the site and the Site Director
  • First point of contact for queries within the Site Leader's site
  • Creating PowerPoint presentations
  • Creating and maintaining Confluence content for the site
  • Both regular and ad-hoc reporting using Excel and other tools
  • Representing the Site Director's office to multiple internal groups

Site Operations

  • Managing relationships with vendors outside of the scope of facilities
  • Managing purchase orders and payments for site outside of the scope of facilities
  • Supporting site leadership with site growth, site planning, and site initiatives
  • Collaborating with facilities staff to manage operations that cross entities
  • Coordinating site-wide initiatives: e.g. new hire onboarding, employee engagement, and co-op hiring

Event Management

  • Planning, coordinating, and executing events to ensure their successful delivery
  • Ability to organize internal events within budget requirements
  • Assisting with creative design at events
  • Ability to lead internal communication to promote internal events
  • Supporting the wider team with catering arrangements and internal meetings


  • The ideal candidate will have 2+ years of experience in a similar role
  • Competent with MS Office/Outlook
  • Very strong organizational skills, willing to drive organization outside of their personal sphere
  • Excellent communication skills both written and verbal
  • Ability to work under pressure
  • Able to juggle multiple projects simultaneously, while maintaining a set of daily operations
  • Strong team player, able to work with a variety of others to accomplish shared goals
  • Self-driven with a need to keep things flowing smoothly and complete projects
  • Some flexibility with working hours
  • Fluency in English
