Administrative Assistant, Information Technology

<p>Responsible to the <strong>Vice-President, Information Technology </strong>for providing administrative support, coordinating all office related functions and managing assigned projects while working independently.&nbsp;</p> <p>Responsible for calendar management, meeting scheduling/coordination, compilation of reports, copying appropriate materials for meetings and presentations.&nbsp;</p> <p>Prioritize the Vice-President&rsquo;s daily activities and adjusting as required. Preparing correspondence, reports, manage phone calls, voicemail and email inquiries.&nbsp; Prioritize and respond to all requests in a professional and confidential manner.</p> <p>Make arrangements for meetings and events including scheduling and preparations as required.&nbsp; Plan and book travel arrangements for the Vice-President as required.</p> <p>Create and prepare a variety of reports, presentations and documents as required, including spreadsheets, graphs letters, memos, reports, lists and Board reports.</p> <p>Responsible for the administrative duties of TimeZone time tracking.</p> <p>Provide administrative support to the Director, Enterprise PMO and Analytics.</p> <p>Other duties as assigned by the Vice-President, Information Technology.</p> <p><strong>QUALIFICATIONS:</strong></p> <p>College / University courses in business preferred, with one- or two-years&rsquo; office experience.</p> <p>Must possess good written and verbal communication skills, along with professional interpersonal skills.&nbsp; &nbsp;</p> <p>Effective organizational, time management skills and attention to detail.&nbsp;</p> <p>Strong follow through in prioritizing, coordinating and multi-tasking in a fast-paced environment.</p> <p>Excellent computer skills in Microsoft Word, Excel, PowerPoint and Outlook.&nbsp;</p> <p>Must be self-motivated and resourceful, with the ability to work with minimal supervision and to take initiative.&nbsp;</p> <p>Ability and willingness to work extra hours as required.&nbsp;</p>
