Administrative Assistant (HR)

Job Description

AGDATA is currently seeking an Administrative Assistant (Human Resources) for our Cambridge, Ontario office. This is a 12 month maternity leave contract beginning in May 2019. We are looking for a candidate with excellent organizational and time-management skills, along with the ability to be flexible and adapt to change. This is a great opportunity for someone who enjoys having a variety of responsibilities and working in a small, but fast-paced environment.


Role Impact:


Supporting Human Resources leadership, you will be responsible for overall office organization and administration. Your day-to-day activities will help support our employees, and assist the Human Resources group in maintaining compliance. As part of this role, you will:

  • Create and maintain employee records and benefits profiles electronically
  • Provide support to a virtual recruiting team for Canada-based recruiting activities, including delivering an exceptional in-person candidate experience
  • Assist with new hire on-boarding and orientation
  • Execute Health and Safety compliance, including ensuring minimum requirements for meetings, inspections and reporting are met
  • Reception duties including answering company phone, voicemail distribution, greeting guests and sign-in of visitors
  • Organize correspondence, scheduling, and deliverables related to new commercial property leasing
  • Coordinate and execute employee engagement events and activities in partnership with the AGDATA Social and Volunteerism Committee, including budget approvals and management
  • Compile, process, and reconcile bills, payments and employee expense reports
  • Manage inbound/outbound mail, and scheduling of courier services and other correspondence, as required.
  • Record and maintain meeting minutes (including but not limited to Health and Safety meeting minutes)
  • General data entry and record keeping
  • Oversees office space and ensures all supplies maintained:
  • Building issues and memos
  • Water softener maintenance/ordering
  • Order office supplies
  • Order /maintain first aid supplies
  • Other duties and projects as assigned

Skills & Requirements

Skills and other requirements:


  • High School Degree
  • 1 year of experience as Office Assistant or Administrative Assistant
  • Experience in the area of Human Resources is considered an asset
  • Ability to be flexible and juggle multiple projects with superb accuracy
  • Ability to take initiative
  • Forward looking and well-organized
  • Strong communication skills, both written and oral, with a strong understanding and use of grammar
  • Strong attention to detail
  • High sense of urgency and problem solving
  • Good knowledge of Microsoft Office suite
  • Excellent customer service skills
  • Ability to lift 30 lbs overhead
